Roster 2014 CNY Cookies Sales

Announcements 28th Dec – 29th Dec 2013, Feast of the Holy Family

Note: All servers are responsible to check and note these announcements.  As announcements are put on the blog, there should not be any reason for servers not to check even when they are not present over the weekend, unless they are unable to obtain an internet connection when overseas.  Group Leaders are not to skip the reading of any announcement and should elaborate where necessary.  

 

1.
Administration (Rosters and Special Events)
b.
Special events roster for January has been updated.  All to check.
c.
Group 2 servers will be serving the Novena servicenext Sat, 4th Jan.
d.
With immediate effect, the following P6 servers from Group 4 will be posted out to the following groups.  David de Souza and Zachary Clunies Ross to make the necessary changes to their files.  Relevant Group Leaders to note.

2.
Sharing
a.
Sharing for servers secondary 1 and above will beheld on 3rd Jan at 830pm.

 

3.
Outing to Night Safari
a.
All servers to report on Mon, 30th Dec at 515pm sharp at the canteen.  Latecomers who miss the bus are expected to arrange their own transport to Night Safari.
b.
Servers who have stated their attendance but withdraw from the trip after Sun 22nd Dec will be charged the full transport, accommodation and ticket fee except under circumstances of emergencies.
c.
Servers are to bring along their water bottle, $10 for their meals, additional money if they would like to make other purchases, their handphone if possible, wet weather equipment/gear, and necessities for the overnight stay in church.  The overnight stay is compulsory unless consent has been given by one’s parents through a phone call or message to Raphael Ng.
d.
Dismissal will be at 10am on Tue, 31st Dec.

 

4.
Sacerdotal Ordination of Deacons David and Kesavan
a.
Final training for servers on the mass team will be held this Mon, 30th Jan at 4pm.
b.
20 servers have been assigned to help the parish in preparing chairs at the Parish Hall this Sun, 29th Jan at 4pm. Servers are responsible to find a replacement and swap if they are unable to turn up for their duty.  A valid reason should be given and an Exco member informed.

 

5.
Sale of Chinese New Year Cookies
a.
3 weekends of sales will be held starting from the Sat, 4th Jan.
b.
Rosters have been posted up.  As there few servers per shift, servers are responsible to find a replacement and swap if they are unable to turn up for their duty.  A valid reason should be given and an Exco member informed. Servers are expected to be punctual for their duties and are only to leave when dismissed by their ICs. Report directly to the church porch.
c.
ICs that are assigned are Exco members and Group Leaders and most will be on duty more than once.  They are to swap amongst themselves only, if they are unable to turn up for their duty.
d.
ICs to ensure that the only they themselves and the authorised parent volunteers handle money for the sales.
e.
I/Cs should arrive 15 minutes before their shift starts and are to ensure that the next I/C has arrived to hand over the shift.  They should plan to allocate manpower efficiently and note that there should be an additional booth at the canteen for all morning shifts.

 

6.
Training
a.
For weekday mass, the server doing offertory on Reader’s side is to bow with the server doing offertory on Father’s side.  He should then process to the front of the altar, bow and walk towards the credence table.  He should not enter the sacristy by walking through the back.  Group Leaders to teach.
b.
To inculcate a habit of prayer after communion, servers are to bow their heads for a reasonable amount of time so that they are not looking at the congregation and being distracted.  However, they should judge roughly when it is time to stand up and return to their seats.  Group Leaders to guide and ensure.
c.
Servers are to bring along and use their rosary for weekday spiritual preparation.  All Exco and Group Leaders to lead by example.

 

7.
Year End Conference for Group Leaders and Sacristans
a.
To review and improve current practices, Year End Conference for Group Leaders and Sacristanswill be held this Sun, 29th Dec from 2pm to 4pm in the Our Lady of Grace Room.
b.
Attendance is compulsory.  Absentees should already have submitted a valid reason to their heads by Wed 25th Dec.

 

8.
Christmas Gift Exchange
a.
Servers who did not find their gifts in the transparent boxes or have received an extra gift are to inform Sean Chan immediately after debrief.

 

9.
Cassock Exchange
a.
If a server has not received a cassock of an appropriate size by Tue, 31st Dec, he is to contact Sean Chan immediately.
b.
Servers are reminded not to leave their cassock in the sacristy for more than 12 hours.  All special concessions will expire with immediate effect.

Outing to Night Safari
a.
All servers who have not taken their form are to do so immediately after massGroup Leaders to ensure that each server shows them a form before they exit the sacristy.

Servers are to submit their forms this weekend to the transparent box.  The last date for submission is Sun 22nd Dec at 630pm.  No more forms will be accepted thereafter due to the need to book tickets and transport.  Servers who stated their attendance but withdraw after Sun 22nd Dec will be charged the full transport, accommodation and ticket fee except under circumstances of emergencies.

Spiritual Preparation before mass (Group Leaders and Exco Members are to meet after mass and an Exco Member to brief. No need to read during debrief)
a.
All Exco Members and Group Leaders to note that spiritual preparation before mass should be rotated amongst them.  On weekends, gospel reflection is to be done.
b.
Exco Members and Group Leaders of each mass are strongly encouraged to make use of the light blue and red book on the high table or the book of homilies in the servers’ cupboard to aid them in reflection.  The one doing the spiritual preparation for that weekend should spend some time in preparation and not just recite what is written in the book.  He should ensure that the reflection is age appropriate and simplify or elaborate where necessary.
c.
On weekdays, if a feast or memorial of a saint is celebrated, the story of the saint should be read before the prayers.
d.
Exco Members and Group Leaders are to ensure that the prayers before mass are said slowly and reverently.  If they find that they are unable to reflect on the words or there is no pause between lines, this is to be corrected immediately.
e.
The following Exco Members to report to Raphael Ng once all the leaders and Exco members of their mass have been briefed.

8.
Christmas Gift Exchange
a.
Servers are to submit their gifts to their Group Leaders immediately after debrief and before they leave the Sacristy.
b.
Group Leaders to check for wrapping and recipient’s name before dropping it off into the box besides the cassock rack.  
9.
Cassock Exchange
a.
Group leaders are to check if any of their members missed the previous cassock inspection on Sun, 1stDec and still have cassocks of inappropriate length. The measurements for those requiring new cassocks are to be taken by Group Leaders from the base of the server’s neck down to the back of his heel. Measuring tape can be found on the high table middle drawer.  Notify Sean Chan of the name and dimensions by Sun, 21st Dec.
b.
If a server does not receive a cassock of an appropriate size by Tue, 31st Dec, he is to contact Sean Chan immediately.
c.
Servers are reminded not to leave their cassock in the sacristy for more than 12 hours.  All special concessions will expire with immediate effect.

 

10.
Sacristans
a.
All sacristans who are setting up the finger towels for communion ministers are to use the white, liturgical finger towel (with the red cross) and not the tea towels or face towels.  The lady in charge of cleaning washes only sacred linens, whichpotentially contain particles of the Body of Christ.
b.
All matters pertaining to Sacristans will now be placed on the whiteboard opposite the charcoal area.  New rosters and stock checklists have been published and are to be used with immediate effect.
