November 2014 Special Events Mass Roster

Announcements 7th – 8th Nov 2014, Feast of the Dedication of the Lateran Basilica in Rome



1. Administration (Rosters and Special Events)

a. Special events roster for NOVEMBER has been updated. All are responsible to check. Leaders are reminded to TICK the names of those on the list attached.

b. Group 2 will be serving the novena service next Sat, 15th Nov.

c. Servers who have ended their exams are to serve 2 weekday masses, with at least one being a morning mass or a special events mass that starts in the morning.

d. Group Leaders are expected to acknowledge and record all VRs dated Sep 2014 and later near the sink immediately after mass and before they leave. Due to inaction, this has led to unnecessary and unsightly clutter there. David de Souza can only file in these records once every single entry has been acknowledged by a Group Leader.

e. Servers are reminded that it is their responsibility to check the announcements even if they are not present for the weekend. The announcements can be found on Facebook or on the blog. However, if one is unable to secure an internet connection e.g. overseas on holiday, he is responsible to inform his Group Leader to keep him updated of any important updates.

2. Mass hopping

a. As the school holidays are approaching, servers are reminded that they are not allowed to swap masses as they please out of mere convenience. Examples of reasons that will not be accepted by Group Leaders are these.

i. Serving the Saturday sunset mass just because one’s group is serving the Novena service before that.

ii. Serving another mass time just because there is no catechism class during the holidays.

3. Sharing

a. Sharing for all servers secondary 1 and above will be held this Fri, 14th Nov at 830pm.

4. Juniors Retreat 2014

a. All servers Primary 6 and below are to return their consent form by this Sun, 9 Nov whether one is able to attend or not. Venue will be in SFX Church. Servers are requested to plan their schedules around these dates as far as possible.

5. Liturgy (IMPORTANT)

a. It has been noticed that some servers do not participate during the responses at mass e.g. not saying “and with your spirit” at the appropriate times.

b. It has also been noticed that some servers still do not bow their heads when the celebrant invites all to pray at the Collect and Prayer after communion.

c. In addition, others keep their heads up and observe the congregation instead of praying after they have received communion and returned to kneel at their seats.

d. Servers who are practising such habits are to rectify them immediately. Group Leaders to teach and ensure.

6. Discipline (IMPORTANT)

a. Servers and sacristans are reminded that the failure to report for a special events mass without a valid reason will not be taken lightly. This is because there is a much higher risk that all duty servers are absent as compared to other masses. In addition, an absent sacristan may cause a major delay to the start of that mass/service.

b. To allow sacristans and servers to make amends if through their own fault, they have missed their duty,

i. The server/sacristan will be warned verbally by the President and assigned for one additional special events mass if this is their first mistake of the year.

ii. The server/sacristan will be warned verbally by the President and assigned for two additional special events masses if this is their second mistake of the year.

iii. If this occurs a third time in the year, the server will be liable for further disciplinary action.

c. Efforts are made to ensure servers are given at least one weekend before the special event to find a replacement if they cannot report for their duties. If this is not possible, special events ICs have been briefed to call affected servers to inform them. The special events ICs are not responsible to find a replacement for a server unless under extreme circumstances e.g. major illness, accident.

1.     Administration (Rosters and Special Events)
a.     Special events roster for NOVEMBER has been updated.  All are responsible to check.  Leaders are reminded to TICK the names of those on the list attached.
b.     Group 1 will be serving the novena service next Sat, 8th Nov.

3.     Bible Sharing
a.     Bible sharing for all servers secondary 1 and above will be held this Fri, 7th Nov at 830pm.

4.     Juniors Retreat 2014
a.     All servers Primary 6 and below are to inform their parents that their retreat will be held from 16th to 18th Dec.  The consent form is to be returned by Sun, 9 Nov whether one is able to attend or not.  Venue will be in SFX Church.  Servers are requested to plan their schedules around these dates as far as possible.




5.     Prayers before mass
a.     The “Radiating Christ Prayer” and “Prayer for Vocations” is to be said without haste.  From now, it is to be said with head bowed and eyes closed to help servers to reflect on the words that are being said without being distracted.
b.     Servers are to bring their own rosaries for weekday spiritual preparation.
c.     The 3 sacristy glass doors must be closed for spiritual preparation to keep out external noise.

b.     Group 2 will be serving the novena service next Sat, 11th Oct.

2.     Love and Responsibility Series
a.     Love and Responsibility Series for servers secondary 2 and above will be on this Fri, 10th Oct at 830pm in the Saints Mary and Martha room.

3.     Juniors Retreat 2014
a.     All servers Primary 6 and below are to inform their parents that their retreat will be held from 16th to 18th Dec.  Venue will be in SFX Church.  Servers are requested to plan their schedules around these dates as far as possible.

4.     Liturgy
a.     Servers kneeling after receiving Communion may sit as soon as the Priest even if not the Celebrant returns to the Altar.
b.     Servers are reminded to bow their heads in reverence at the Collect and Prayer after communion, till “Amen” is said.
c.     Group Leaders are to demonstrate how the mike should be placed at the left corner of the altar with the mike head facing the altar without touching.  This is to prevent the priest’s vestments from brushing against the mike and creating noise.
d.     The stole is to be hung on top of the chasuble or cope when these vestments are put on a hangar.

1.     Administration (Rosters and Special Events)
a.     Special events roster for SEPTEMBER has been updated.  All are responsible to check.  Leaders are reminded to TICK the names of those on the list attached.
b.     Group 5 will be serving the novena service next Sat, 27th Sep.

2.     Elections
a.     No server has secured the required majority of votes after 5 rounds of voting.  The elections will adjourn for all to remain steadfast in prayer and will continue next month.  The society is invited to pray that the right leaders may be chosen and are strongly encouraged to dedicate at least one decade of the rosary for this intention during daily spiritual preparation before mass.

3.     Bible Sharing
a.     Bible sharing for all servers secondary 1 and above will be held this Fri, 26th Sep at 830pm.

4.     Juniors Retreat 2014
a.     All servers Primary 6 and below are to inform their parents that their retreat will be held from 16th to 18th Dec.  Venue is tentatively in SFX Church.  Servers are requested to plan their schedules around these dates as far as possible.

The thurifer will be on the left of the boat bearer with immediate effect.

For novena service, the thurifer and boat will wait for the priest to exit thesacristy before moving out with him.

The Divine Mercy will be prayed in place of Rosary during the Season of Lent.  All are still to bring their rosary as it will be used during the prayer.

The prayer cards for use are placed in the cupboard.  Group Leaders and ExcoMembers are to note and ensure that they are not taken home, as they belong to Fr Brian.

1. Administration (Rosters and Special Events)
a. Special events roster for MARCH has been updated. All to check. The Group Leader will announce the names on the roster as a reminder during debrief (attached behind). After announcing, the Group Leader is to tick the name of the server on the attached roster. The Group 5 leader is to inform the Special Events IC immediately if by the last Sunday evening of the month, there are names which are not yet ticked. The Special Events IC will then make the necessary phone calls. The attached roster is NOT TO BE DISCARDED BUT ATTACHED TO EACH WEEKEND’S ANNOUNCEMENTS until replaced by the roster for the following month.
b. It is still the primary responsibility of the server to still check the noticeboard and find a replacement if he is unable to serve.
c. Group 5 servers will be serving the Novena service next Sat, 1st Mar.

3. Ash Wednesday
a. Ash Wednesday will be on 5th Mar, 630am, 630pm and 8pm. Rosters have been published. Servers to check and swap among one another if they are unable to make it for their allocated slot.
b. Servers who require a letter requesting for time off from school are to notify Zachary Clunies Ross by Sat, 1st Mar and provide their full name, name of school, class and name of principal.

a. Leaders to emphasise on the attached notice. All servers Secondary 2 and below to take note.

5. Discipline
a. Prayers before and after mass are to be said without haste and reflectively. Some groups have been saying their prayers mindlessly and in a rush. This is to be corrected immediately.

6. Newsletter
a. The newsletter for Feb 2014 has been published. They will be sent to one’s parents via email. It will also be uploaded onto the blog and Facebook page.

7. Parish Renewal Experience
a. Group 5 Sacristans on duty this Sun, 23rd Feb, are to help set up and keep an extra set of mass items in the hall for the PRE participants. They may ask other servers to help them during the setting up and packing up. For the number of hosts required, the sacristan is to check with Grace Ch’ng 9675 2502.

RETRAINING NOTICE

Special events roster for FEBRUARY has beenupdated.  All to check.  The Group Leader will announce the names on the roster as a reminder during debrief (attached behind).  After announcing, the Group Leader is to tick the name of the server on the attached roster.  The Group 5 leader is to inform the Special Events IC immediately if by the last Sunday evening of the month, there are names which are not yet ticked.  The Special Events IC will then make the necessary phone calls.  The attached roster is NOT TO BE DISCARDED BUT ATTACHED TO EACH WEEKEND’S ANNOUNCEMENTS until replaced by the roster for the following month.

Servers who present these reasons are still to attend mass and come for debrief.

a.
Sharing for servers secondary 1 and above will be held this Fri, 14th Feb.

Retraining
a.

a.
Leaders to teach and demonstrate that the sign of the cross is to be made without haste, according to the words “Father, Son, Holy Spirit” and with the five fingers extended and held together.
b.
The server(s) who light(s) up the candles before mass will extinguish them after mass while still wearing his cassock.

 

 

 

5.
Discipline
a.
Servers are reminded to ensure that their cassock is clean and well ironed when they put it on.  They may not be allowed to serve mass if their cassock is dirty or crumpled.
b.
Servers are strongly encouraged to use a cassock cover or fold their cassocks neatly if it is to be placed in a bag.
c.
Prayers before and after mass are to be said without haste and reflectively.  Some groups have been saying their prayers mindlessly and in a rush.  This is to be corrected immediately.

 

6.
Visit by Apostolic Nuncio
a.
The Apostolic Nuncio to Singapore, His Excellency the Archbishop Leopoldo Girelli will be celebrating the 11am mass on Sun, 16th Feb.
b.
All servers who are above Secondary 4 and 2 primary school servers are on the Mass Team. The roster has been published. Training will be held on Sat, 15th Feb from 8pm to 930pm.
c.
It will be a full society mass.  All primary school servers are to report to the Basement Chapel at 1030am SHARP.  Cape and sash is required and attendance will be taken.  Secondary School servers are exempted.
d.
This will NOT be counted as a weekend mass except for 11am servers and those on the Mass Team.  Hence, servers will still need to serve at their usual mass times.  However, Mass Team servers who are also Sacristan and Group Leaders should ensure that their duty is covered and that their mass group is not depleted of servers.
